How digitalizing procurement, invoicing, HR, and asset management saved Zenova over 460 hours each month and improved cashflow
About Zenova
Zenova is a company with more than 4,000 employees, operating large-scale projects that require efficient coordination between procurement, finance, HR, and operations. Before implementing INSIO, administrative processes were fragmented, time-consuming, and often lacked transparency.
Challenges Before INSIO
Orders in Word – Purchase orders were created manually in Word documents and approvals could take several days.
Inefficient HR planning – Vacations and substitutions weren’t managed in a system, leading to overlaps and gaps.
Asset tracking in Excel – Company assets were recorded in spreadsheets without real-time monitoring, making it hard to see where equipment was and how it was used.
Manual invoice approvals – Invoices were approved by hand, often disconnected from the related order.
Multiple disconnected systems – Different departments used unlinked tools, creating inefficiencies and duplication.
Decentralized contracts – Contracts were scattered across emails, folders, and binders, making them difficult to track and monitor.
These challenges not only slowed down operations but also tied up financial resources and staff capacity.
The INSIO Solution
Zenova chose to implement INSIO as a unified platform to cover procurement, invoicing, HR, contract and asset management. Key aspects of the solution:
Procurement: Orders are created directly in INSIO, with automatic budget control and approval workflows based on order type. Unauthorized purchases are prevented, saving management time.
Invoicing: Operational teams now create invoices themselves using templates. Within the first 5 days of the month, 1,000+ invoices are issued, accelerating cashflow. Integration with Helios eliminates manual retyping.
Contracts: All contracts are centralized and linked to projects, suppliers, and contract types. Access rights are clearly defined, with notifications for upcoming expirations.
HR: Vacations cannot be approved without assigning a substitute, ensuring smooth operations. Managers and employees see all schedules directly in the dashboard.
Asset management: Every asset above 1,000 CZK is assigned to a project. The system shows where assets are, how they’re used, and whether they need to be returned—minimizing losses.
Helpdesk: Customer requests are tracked through workflow, with clear reporting, SLA measurement, and auditability.
